Image Release: In registering for ITS World Congress 2016 event and events, delegates grant permission to ITS World Congress, its agents and others working under its authority, to take and to have full and free use of video/photographs containing their image/likeness. It is understood these images may be used for promotional, news, on-line/multimedia, research and/or educational purposes by and for ITS World Congress. Delegates agree that they are not entitled to remuneration, residuals, royalties or any other payment from ITS World Congress in respect of their image/likeness or its use. Delegates release, discharge, and hold harmless, ITS World Congress and its agents from any and all claims, demands or causes of actions that they may hereafter have by reason of anything contained in the photographs or video. Should a delegate not agree to the above image release, they must advise the ITS World Congress in writing via email at least 7 days prior to the event.

Liability Waiver: In the event of disruptions outside the control of the ITS World Congress, the ITS World Congress and the organisers accept no responsibility. In the event of the venue becoming unusable or other circumstances or the need to cancel the event, there can be no liability on ITS World Congress or the organisers.

Cancellation policy: Cancellations must be received in writing via email. Cancellations received on or before 10 August 2016 will be refunded in full, less a 25% cancellation fee to cover administration costs. No registration refunds will be made after this date. As an alternative to cancelling, you may transfer your registration to another member of your organisation, subject to a $33 processing fee.

Social functions cancellation policy: The event managers reserve the right to cancel or vary optional activities if minimum numbers are not reached. Social functions tickets cannot be refunded if participation is cancelled within 96 hours of the social event.

Program: ITS World Congress reserves the right to change event programs at any time. Every effort will be made to ensure programs of equivalent standard.

Behavior: The ITS World Congress reserves the right to prohibit entry of any person to an ITS World Congress event, or eject any person from an ITS World Congress event at the ITS World Congress discretion.

Registration and Payment: Payment in full is required at the time of registration or no later than 3 days prior to the event in order to attend.

List of participants: In registering for ITS World Congress, relevant details may be incorporated into a delegate list for the benefit of all delegates (name, organisation and state). Further details may be available to parties directly related to the individual event registered for (for the purpose of room bookings, special catering and physical requirements, name tag creation and event options). Sponsors and exhibitors may be supplied with the full name, title, organisation, state and email addresses of those delegates who do not ‘opt out’. Should you not wish for your details to be passed on for any of the above purposes, please indicate this in writing to the ITS World Congress via email.

Storage of Data: ITS World Congress may engage a third party to administer and deliver services and communications to attendees by email or email. Some third party suppliers or their products or services are located overseas. Business details and personal information you choose to provide on this application may be transferred to an overseas recipient and stored overseas to administer such services and communications to you. By completing this application, you agree to this transfer and Australian Privacy Principle 8.1 will not apply to this disclosure.

Future communication: In accordance with applicable legislation the ITS World Congress may provide notices or correspondence to you by electronic communication. By completing this application, your consent to this form of contact is taken to be given.

Special Dietary/Physical Requirements: Cannot be catered for unless requested before the event registration closing date. Please indicate any special requirements on your registration form or email with your specifications.

Accommodation cancellation: Accommodation cannot be booked unless full payment is received. Cancellations in whole or part may incur a penalty at the accommodation.

Cancellations and alterations made by MCI Australia will incur a booking change fee of $33. Hotels will require an imprint of your credit card at check-in for any incidentals.

Payment conditions: 100% of the total amount will be required to confirm the reservation. This amount will be deducted from your final hotel bill when checking out from the hotel. A credit card will need to be provided at the hotel to be held on file for each guest to allow for any incidental charges. Any incidental charges (such as mini-bar and telephone, etc) must be paid directly to the hotel when checking out.

If payment is not received by the specified deadlines your booking will be cancelled and become subject to availability and pricing at the hotels discretion.

After Friday, 2 October, 2016 only payments by credit card will be accepted for accommodation bookings. Full payment will be required upon check in direct to the hotel after this date.
